Constitution


The Group's Name:

The group shall be called The Sandy Historical Research Group

The Objects of the Group:

To promote the integration of the local community in producing everlasting records beneficial to the community and for the reference of those persons interested.

It shall provide for the advancement of education.

Powers:

It shall have the power to research by which ever means the committee shall deem necessary to establish the historical facts concerning Sandy and associated communities.

Membership:

Membership of the Group shall be open to any person completing a membership application and paying the relevant subscription fee as determined by the Annual General meeting of the Group members.

General Business:

The affairs of the Group shall be controlled by a committee comprising the Officers and two other members elected from, and by, the Members of the Group. The committee shall meet at agreed intervals and not less than four times per year.

Committee:

All Officers and members of the committee shall be elected at the Annual General Meeting of the Group, from and by, the Members of the Group on a democratic basis, for the period of one year, but may be re-elected to the same office or another office the following year.

The committee shall comprise:-

Chairperson

Deputy Chairperson

Secretary

Treasurer

Web Master

Publicity Officer

Membership Officer

Archivist

2 Other members

The committee shall have the power to co-opt additional members to assist, as necessary.

A quorum shall consists of not less than five members.

Payments or benefits:

The Group shall be a non profit making organisation. Expenses or other costs made to members or the officers/committee, must be authorised by the committee. No individual shall benefit financially from any data gathered by the group.

Duties:

The duties of the committee shall be:

To control the affairs of the Group.

To keep accurate accounts of the Group finances through the Treasurer. These should be available for reasonable inspection by members and should be audited before, and available at the AGM.

To maintain a Bank Account in the Group name requiring any one of two named & unrelated senior officers to sign each cheque. The maximum amount per single signature to be £50.

To make decisions on the basis of a simple majority vote. The Chair shall be entitled to an additional casting vote in the event of tied votes.

General Meetings:

To approve the minutes of the previous AGM, to receive reports from senior officers and to elect the committee for the coming year. The AGM shall be held in November each year.

Alterations to the Constitution:

Any proposed alterations to the Constitution shall be made in writing and must be lodged with the Secretary 21 days prior to the AGM.

Dissolution or Winding Up:

In the event of circumstances preventing the Group to continue in its constituted manner, then a meeting of the members will decide upon the disposal of all records and funds.

Adoption:

The constitution must be signed by a senior officer evidencing adoption.
